The following agreement (“this Agreement”) describes the terms and conditions on which we offer you access and use of content found on this website (“the Service”). This offer is conditional on your agreement to all the terms and conditions contained in this Agreement, including your compliance with policies, guidelines and terms linked by way of URLs in this Agreement (“Terms and Conditions of Service”).

By using the Service or by exercising any rights provided to parts of it, you accept and agree to be bound by the Terms and Conditions of Service. We only grant you the rights contained in this Agreement in consideration of your acceptance of the Terms and Conditions of Service.

If you do not agree to the Terms and Conditions of Service you should not use the Service and therefore decline this Agreement, in which case you are prohibited from accessing and/or using the Service. We may amend this Agreement at any time at our sole discretion, effective upon posting the amended agreement on this website. No variation or counter offer of this Agreement will be accepted by any of the partnering councils. These are East Sussex County Council, West Sussex County Council and Surrey County Council.

1. The Service

1.1 This web site is a web database application for the recording of War Memorial data and People data – Recording Remembrance.

Your Health and Safety

It is your responsibility to take health and safety precautions when you are recording a memorial. Please note that any issues that may arise as a result of your use of the recording form are neither the responsibility of the particular County Council area you are working in nor its project partners. By registering on our website and using our recording form within the Recording Remembrance Project you are acknowledging that access and health and safety are your responsibility.

Use of Data

Please note that when submitting information to the Recording Remembrance site or your public Historic Environment Record (HER), it shall be in the public domain and used for legitimate purposes in line with the relevant Record’s conditions of use. Where the site is of a sensitive nature, locational information may be restricted when the data is made available.

Where specific consent under the copyright provisions governing the individual HER have been obtained for dissemination of HER data to third parties through publications, reports or theses, due acknowledgement of the use of the HER and of the originators of the material will be given.

Data may be published by other agencies, including the War Memorials Trust and Imperial War Museum and other governmental agencies, including English Heritage.

Use of Data by the Project

Data is submitted to the Recording Remembrance project on the understanding that the information given on the recording form, and any associated materials supplied including photographs, may be entered onto the Recording Remembrance database and may be used by the respective County Council's and project partners for non-commercial purposes in furtherance of the project. Any email addresses used to create an account on Recording Remembrance may be used to inform contributors of Recording Remembrance project updates or used to contact contributors about any data they may have entered onto the database.

Copyright for any photographs attached to a memorial or person by submitting photographs with your recording form, allows permission for the photographs to be held and made available in the relevant Historic Environment Record and, if appropriate, the War Memorials Trust, English Heritage Archive and Imperial War Museum archive. Whenever you make use of a feature that allows you to upload material to this site, you must comply with the content standards set out in our Acceptable Use policy below.

If you are attaching associated photographs and published information with your recording data please ensure you have copyright permission to do so and include full archive references.


The material displayed on our site is provided without any guarantees, conditions or warranties as to its accuracy.

This site is not moderated. We will not be responsible as author, editor or publisher of any Data or contribution submitted to this site and we expressly exclude our liability for any loss or damage arising from the use of this site by any person in contravention of the Acceptable Use Policy below. We reserve the right to promptly remove, or to disable access to, any Data or contribution which we deem to be potentially defamatory of any person, unlawful or in violation of any third party rights.

We have the right to remove any material or posting you make on this site if, in our opinion, such material does not comply with the content standards set out in our Acceptable Use Policy. We may also remove any material or posting if it is no longer relevant to the site or the site no longer has the capacity to host this. We are not obliged to retain materials or postings or use all those submitted.

We are under no obligation to oversee, monitor or moderate any interactive service we provide on Our Site, and we expressly exclude our liability for any loss or damage arising from the use of any interactive service by a user in contravention of our content standards, whether the service is moderated or not.


The use of any of our interactive services by a minor is subject to the consent of their parent or guardian.


These content standards apply to any and all material which you contribute to this site, and to any interactive services associated with it.

  • Be threatening, abuse or invade another's privacy, or cause annoyance, inconvenience or needless anxiety.
  • Be likely to harass, upset, embarrass, alarm or annoy any other person.
  • Be used to impersonate any person, or to misrepresent your identity or affiliation with any person.
  • Give the impression that they emanate from us, if this is not the case.
  • Advocate, promote or assist any unlawful act such as (by way of example only) copyright infringement or computer misuse.


We will determine, in our discretion, whether there has been a breach of this acceptable use policy through your use of this site.  When a breach of this policy has occurred, we may take such action as we deem appropriate. 

Failure to comply with this acceptable use policy constitutes a material breach of the terms and conditions upon which you are permitted to use this site, and may result in our taking all or any of the following actions:

  • Immediate, temporary or permanent withdrawal of your right to use the recording Remembrance site.
  • Immediate, temporary or permanent removal of any posting or material uploaded by you to this site.
  • Issue of a warning to you.
  • Legal proceedings against you for reimbursement of all costs on an indemnity basis (including, but not limited to, reasonable administrative and legal costs) resulting from the breach.
  • Further legal action against you.
  • Disclosure of such information to law enforcement authorities as we reasonably feel is necessary.

We exclude liability for actions taken in response to breaches of this acceptable use policy.  The responses described in this policy are not limited, and we may take any other action we reasonably deem appropriate.

You are expected to check this page from time to time to take notice of any changes we make, as they are legally binding on you.
